Job Posting: Chief Administrative Officer (CAO)
Canada’s National Ukrainian Festival (CNUF) Location: Dauphin, Manitoba
Position Type: Full-Time, 2 Year Term Position Reports To: Board of Directors
Position Summary
Canada’s National Ukrainian Festival (CNUF) is seeking a highly organized, motivated, and community-minded Chief Administrative Officer (CAO) to oversee the day-to-day administrative and operational functions of the organization. This role is critical in supporting the Board of Directors, planning and delivering successful festival and cultural events, and managing ongoing operations, including a retail store and seasonal staff.
The CAO will play a leadership role in preserving and promoting Ukrainian culture while ensuring the organization operates efficiently, professionally, and sustainably.
Key Responsibilities
Administration & Office Operations
- Manage daily office operations and administrative functions
- Prepare correspondence, reports, agendas, and meeting minutes for the Board of Directors
- Maintain records, contracts, policies, and organizational documentation
- Act as the primary point of contact for stakeholders, partners, sponsors, and the public
Festival & Event Planning
- Plan, coordinate, and execute the annual Canada’s National Ukrainian Festival and related events
- Assist with event logistics including scheduling, permits, vendors, volunteers, and contractors
- Support sponsorship, grant applications, and reporting requirements
- Coordinate timelines and ensure deliverables are met leading up to events
Retail Store Management
- Oversee daily operations of the CNUF retail store
- Manage inventory, ordering, merchandising, and sales tracking
- Ensure customer service standards are maintained
Staff & Student Supervision
- Supervise and support summer student(s) and seasonal staff
- Provide training, and performance oversight
- Ensure compliance with employment and safety standards
Governance & Board Relations
- Work collaboratively with the Board of Directors to implement strategic priorities
- Provide regular operational updates to the Board
- Support board committees and organizational initiatives as required
Qualifications & Skills
- Post-secondary education or equivalent experience in administration, business, event management, or a related field would be considered an asset
- Proven experience in office administration and organizational management
- Strong event planning and coordination skills
- Experience supervising staff or students
- Retail management experience is an asset
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to manage multiple priorities
- Proficiency in Microsoft Office and/or similar software
- Ability to work independently and as part of a team
- Knowledge of Ukrainian culture or non-profit organizations is an asset
Working Conditions
- Full-time 2 year term position
- Flexible hours required, including evenings and weekends during peak event periods
- Primarily office-based with additional on-site responsibilities during events and festivals
